Set up media sharing between Content Creators and AEM Authors

This article explains how administrators can set up a media sharing workflow for Adobe Experience Manager (AEM).

The workflow allows Content Creators to publish media to a Shared Repository in Content Hubs and make it available to AEM Authors for embedding.

Before you start

Before setting up the workflow, make sure:

Step 1: Create a Shared Repository in Content Hubs

  1. Select Channel from the +Create menu.
  2. The Create Channel window opens.

  3. Enter a name for the channel, for example, AEM Global Content.
  4. Under Privacy, select Shared Repository.
  5. Click Create.
  6. The Shared Repository is created in Content Hubs.

Step 2: Set up automated media routing 

Automatically route media from the Content Hubs Shared Repository to the AEM Shared Repository using an Agentic Workflow.

  1. In the Rich Media CMS, click Agentic Workflows in the top navigation.
  2. The Agentic Workflows page opens.

  3. Click +Create new workflow.
  4. Under Step 1 - Set a trigger, select When media is added to a category.
  5. The Setup trigger window opens.

  6. Select the Shared Repository you created in Content Hubs.
  7. Click Done.
  8. The trigger is added to the workflow. When media is published to this Shared Repository, the workflow starts automatically.

  9. Under Step 2 - Add actions, click Publish Media.
  10. The Publish Media window opens.

  11. Select the AEM Shared Repository. This is where the workflow publishes the media so it's available to AEM authors.
  12. This is the destination repository and is different from the Content Hubs Shared Repository you selected for the trigger.

  13. Click Done.
  14. The new action is created and displays on the right.

  15. Click Create Workflow.
  16. The new workflow page opens.

  17. Click Activate at the top left.
  18. The workflow is active.

    Media published to the Content Hubs Shared Repository is automatically routed to the KAF Shared Repository and becomes available to AEM authors.

    Media may take a few moments to become available in the AEM Shared Repository while the Agentic Workflow processes it.

Verify the workflow

After media is published to the Content Hubs Shared Repository, you can check that it was successfully routed to the AEM Shared Repository.

  1. In the Rich Media CMS, click Agentic Workflows in the top navigation.
  2. Select the workflow you created for the AEM Shared Repository.
  3. The workflow page opens.

  4. Click the Activity tab.
  5. Locate the media in the activity list.
  6. A Running status means that the workflow is still processing. If needed, click the Refresh icon.

    A Success status means that the workflow completed successfully. The media is now available in the AEM Shared Repository for AEM Authors.
