This article explains how AEM Content Creators can upload and prepare media in the Rich Media Content Management System (Rich Media CMS), make it available to AEM authors through the Shared Repository or a Media Gallery.
Content can be made available to AEM authors in different repositories:
- My Media - Contains media that belongs only to the current user.
- Shared Repository - Contains approved media that can be embedded across all AEM sites.
- Media Gallery - Contains approved media for a specific AEM site. To make media available in a site's Media Gallery, assign it to that site's category in Rich Media CMS.
Prerequisite
You must set up a Shared Repository on the AEM KAF configuration.
Upload and prepare media in Rich Media CMS
Content creators can upload and prepare media in the Rich Media CMS, then assign it to the appropriate repository so AEM authors can embed it.
- Log into your Rich Media CMS.
- Click the +Create button in the top navigation bar.
- Click Upload from Desktop.
- Browse your computer and select one or more media files (use the 'Ctrl' key to select multiple files).
The upload window displays.
The 'Upload Settings' window opens.
- (Optional) Modify your file name by clicking the pencil icon. You can also click the trash can icon to cancel the upload.
- (Optional) The media type is automatically detected by the file extension, but you can modify it if needed by choosing an option from the drop-down menu.
- (Optional) Click + Add Files at the top to add more files.
The files begin uploading in the background.
You can continue working in Rich Media CMS while uploads are in progress. If your connection fails, the upload can resume automatically when you reconnect.
The media appears in the list on the Entries page.

To view the upload status or retry failed uploads:
- Click the folder icon in the navigation bar.
- Review progress or click View Details for more information.

Assign to Shared Repository
To make sure your authors can see and embed your media, you must assign them to the Shared Repository. This makes your media available in the Shared Repository for AEM authors to embed across all AEM sites.
Watch a quick tutorial:
- Click the media entry on the Entries page to open the details view.
- Click Browse Categories.
- Click the arrow next to your account root category to expand it.
- Scroll down and click the arrow next to the site category to expand it.
- Click the arrow next to the channels category to expand it.
- Scroll down and select the Shared Repository option.
- Click Change Categories. The window closes, and the 'Shared repository' tag now appears in the Categories field on the entry details page.
- Click Save at the top right of the page.
The details page opens on the Metadata tab by default.
The 'Select Categories' window opens.
In the 'Select Categories' window, navigate to the Shared Repository:
Assign to a Media Gallery
To make media available only to a specific AEM site, assign it to that site's category.
Follow the steps in Assign to Shared Repository above, but instead of selecting the Shared Repository category, select the category for the target AEM site.
Site categories are created automatically the first time an AEM author uses the Kaltura Video Component on an AEM site. Media assigned to a site category automatically appears in that site's Media Gallery.
